Add or modify Reminders for Appointments and Meetings items in bulk

I’ve imported a Calendar from another user into my own Outlook Calendar and noticed that these appointments do not have any Reminders set.

Also, as I’ve moved, I want to adjust the Reminder time for several of my own existing appointments as well.

Is there a way to globally add or modify Reminders to all or a selection of existing Calendar appointments without needing to open and adjust them one-by-one?

Sorting and grouping messages together based on their content but within a single folder

I’m receiving various notification emails from the same address which I all store within a single folder (I move them there via a rule based on the From address).

Their subjects are non-distinctive but their message body however holds specific information which I like to group them together by within that folder. With grouping together I mean similar as how you can group messages from the same sender together or messages with the same subject.

For instance, our sales system sends out an email that there is a new order, but what has been ordered is stated in the message along with further details.

Is there a way to still group these messages based on what has been ordered without spreading them out over multiple folders?

Quick Steps; What are they and why should you use them?

I’ve heard about Quick Steps before and see them on the Ribbon in Outlook but I’ve never used them before.

What exactly are Quick Steps and how can they help me with managing my emails?

Disable Conversation View in Outlook on the Web, OWA or Outlook.com

I don’t really like Conversation View and how it groups the emails together as it requires additional clicks to get to a specific message within the conversation.

Also, I couldn’t find back a message which I received last week only to find it back under “Yesterday” under a different “From” name of someone who replied later.

How do I disable Conversation View in OWA?

Very big/small font size when composing an email

Every time I compose a new email, the new message window shows very big letters.

For example, I can only see 6 English words on my 22" monitor. The font I use is Arial size 10. This is very annoying as I just cannot see my message clearly. I have tried to turn off everything in Accessibility and it didn't help. When I read email, then all is normal.

How do I get back to a normal size font again?

Using Outlook on a second machine for free

Yesterday’s tip was about getting rid of the EULA notification but have you taken the time to read it before?

It's actually worth it as it states that you can use it on a second device as well within the same single license without any additional cost.
How does it work?

Search Results can’t be moved or Categorized and Categories column isn’t shown

I heavily rely on the Search feature within Outlook to efficiently triage my emails. However, something appears to have been changed to how Search works. For instance;

  • When I move messages from my Search results to a different folder, this isn’t directly reflected in the Search results anymore (when sorted by folder).
  • Mailbox wide searches are always sorted by date instead of by folder.
  • The Categories column isn’t shown even though it is added to the View.
  • Categories are shown when the message is opened in the Reading Pane but I can’t remove them.

How I can I return Outlook’s Search behavior back to the way it was before?

Don’t send attachments to CC and BCC recipients

I've been working in a team on a project and now am ready to submit it by email with quite a few attachments.

I want to keep all the team members in the loop, but they obviously don't need all the attachments as they already have it.

Is there any way to send out this email to everyone but only have the people in the To field receive the attachments but not the ones in CC and BCC?

E-mail Properties for contact addresses in Outlook 2013, 2016, 2019, 2021 and Microsoft 365

To troubleshoot a winmail.dat and lost attachments issue, I wanted to verify that the email properties for certain contacts hasn’t been set to “Send using Outlook Rich Text Format” as described in Email attachments disappear when sent to others.

However, this method doesn’t seem to apply to Outlook 2016 and neither does the Outlook 2010 method.

Where did they hide this option in recent versions of Outlook?

A program is trying to send an email message on your behalf

We’re using an application which can send notification messages to our customers. It does this via Outlook but for each email that we send out we get the warning below:

A program is trying to send an email message on your behalf. If this is unexpected, click Deny and verify your antivirus software is up-to-date.

We then have to wait a few seconds before a progress bar is to 100% before we can click on Allow.

Needless to say, this is very annoying and quite a time suck as it does this for every email.

Is there a way to suppress these security alerts even if it is just for this application?
