Remove my name from the top header when printing an email as a delegate
Upon printing an email from Outlook, my name is printed in large bold letters at the top of the message.
While this is OK for my own messages, sadly Outlook also prints my name when I print a message from my manager’s mailbox for which I am a delegate.
Is there a way to print it with the name of my manager instead or to remove the name altogether?
Unfortunately, there is no option to alter the name which is being displayed at the top of a printed message as it is tied to the Display Name of your email account, which you can’t modify yourself for an Exchange account.
There also isn’t an option to remove it altogether but there are some alternative methods to get rid of it anyway.
Printing a message as a delegate will put your name at the top.
Font settings
The Print Options dialog allows you to change the font settings for the Title field, which is the field containing you name.
When you set the font size to 1pt (type it in the size field, as it isn’t in the list), your name becomes basically unreadable especially when you’d also select a symbol font like Webdings, it results pretty much in a black line.
To change the printing font settings for the title/name field:
- Outlook 2007 and previous
File-> Print Setup-> Memo Style… - Outlook 2010, Outlook 2013 and Outlook 2016
File-> Print-> Prints Options-> Page Setup…
Modify the Title font style to hide your name at the top of a printed message.

Adobe Blank font
A somewhat cleaner result can be achieved when you install the Adobe Blank OpenType Font. This is a free font created by Adobe and can be downloaded from the open-source site GitHub.
From the list of files, download the file AdobeBlank.ttf
. To install the downloaded font, right click it an choose: Install.
Upon restarting Outlook, you can select the font as per the instructions above. Since the font is blank, it’s listed all the way at the top of the font selection screen as a blank line.
Although it is blank, setting the font size to 1pt will decrease the amount of white space at the top of the message.
With the Adobe Blank font, you can really hide you name on a printout.
Open in browser and print selection
Another way to get rid of your name in the header is to open the message in a browser and then use the Print Selection option. This however only works for HTML formatted messages.
You can find more details about how to do that in: Print a partial message or text selection only
Copy and paste into Word
A bit more cumbersome but nonetheless very effective approach would be to copy and paste the message into a blank Word document and then print it from there. This will also prevent the message header from being printed.
If you do want to print it with the message header, click on the Reply button first and then copy and paste the message into Word.
