Automatically request a Read Receipt when sending to a specific address
I know that I can set the option to request for a Read Receipt for all messages or to set it on a per-message basis. However, I only want to set it when sending to certain people.
For instance, I only want to request a Read Receipt when sending to my boss, the HR department and some project managers.
Is there a way to have Outlook automatically ask for a Read Receipt if an email is sent to a specific email address rather than needing to set this manually?
There is no direct setting for this in the Read Request options but you can still achieve this by creating an outgoing message rule.
- Open the Rules Wizard:
- Outlook 2007 and previous
Tools-> Rules and Alerts… - Outlook 2010 and Outlook 2013
File-> Manage Rules & Alerts
- Outlook 2007 and previous
- Click on: New Rule…
- In the section “Start from a blank rule” choose:
- Outlook 2007 and previous
Check messages after sending - Outlook 2010 and Outlook 2013
Apply rule on messages I send
- Outlook 2007 and previous
- In the next screen select the following condition:
- Outlook 2007 and previous
sent to people or distribution list - Outlook 2010 and Outlook 2013
sent to people or public group
- Outlook 2007 and previous
- In the bottom screen, click “people or distribution list” or “people or public group” to select the contacts or address(es) from your Address Book.
- Click Next to go to the Actions screen.
- Here select: notify me when it is read.
- Click Next to advance to the next screen to set any exceptions when needed.
- Once you’ve done that (or don’t need that), click Next to give the rule a name. For Instance: Request Read Receipt.
- Click Finish and then OK to close the open windows.
Setting a selective automatic Read Receipt request can be done via a message rule.
